Scope of the conference
The conference aims at mapping out the current and upcoming measurement and testing needs for which challenging demands on reference materials are envisaged. Forward-looking contributions are invited on the scientific and technological demands and developments for the design, preparation and certification of such measurement standards.

Presentations
Oral presentations are 15 minutes. Dedicated poster session on 23 November, will complement the oral presentation session. Participants will be informed about the selection of oral and poster presentations by 15 September 2010.

Call for abstracts and full contributions
The deadline for abstract submission is extended until 31 July 2010 . Abstracts will be published in the proceedings. Printed copies for the participants and an electronic version for general distribution will be made available. Instructions for the format of the abstract and the full paper are given below. Both should be submitted in electronic format in accordance with the guidelines. It is intended to publish the full papers in form of an EUR Technical and Scientific Research report with ISBN number. Further details will be given on the website.

Instructions for Authors:
Abstracts should follow the guidelines for abstracts (icon 28KB ) and should be submitted by 31 July 2010 to . Participants will be informed of acceptance of their presentation by 15 September 2010.

The proceedings will be published in the EUR Technical and Scientific Research series. Printed copies for the participants and the electronic version for general distribution will be available.

Registration 
Update June 2010 - Online registration is now open: https://jrc-meeting-registration.jrc.ec.europa.eu. If you do not have a personal account yet you will need to create one before you can log on. To register, select: Geel > November > The Future of Reference Materials and follow the on-screen instructions. Click “Register” at the bottom of the form, even if you do not know your travel or hotel arrangements yet, as this can be updated by you a later time (but before the deadline indicated below). 

Registration is on a first-come/first-served basis, and is limited to 150 participants. When 150 participants have registered, additional interested participants will be placed on a waiting list - which will be activated in case of non-payment or cancellation by registered participants.

Deadline to register if a hotel room is needed is 10 September 2010
Deadline to register if no hotel room is needed is 22 October 2010

Registration fee
The registration fee to participate in the conference is €150 and covers:
  • coffee, tea and refreshments during breaks throughout the conference
  • lunches on 23-24-25 November 2010
  • a conference dinner on 24 November 2010
  • workshop proceedings
  • admission to oral and poster presentations
  • transport (see below)
Payment by bank transfer will be accepted after 23 September 2010, and each registered participant will get an email with the payment instructions. The deadline to pay is 29 October 2010. If the payment is not received on time, the registration will be cancelled. A receipt of payment will be given during the workshop on request. No registration can be accepted after 22 October 2010. All registrations will be confirmed via email when the JRC-IRMM has received payment. No other forms of payment for registration will be accepted and on-site registration is not possible.

Cancellation policy
Cancellation of registration before 29 October 2010 in writing via mail, fax, or email will result in a full refund. The refund is done via bank transfer, once the following two forms have been filled in and sent (fax/email) to Sophie Roulette together with the appropriate accompanying documents:
  • a/ The legal entity form: either Individual (icon 299KB ) or Private (icon 329KB ) or Public (icon 331KB ) legal entity (depending on the status of the company you work for) and
  • b/ the Expert identification sheet (icon 119KB ) for bank details: make sure all signatures and stamp are on (or provide with a bank statement).

No refunds will be given for a cancellation after 29 October 2010, but substitution of delegates will be permitted.

Letters of invitation
To assist with visa applications, delegates may request from the workshop secretariat a personal invitation for participation in the workshop. It should be understood that such invitation is only to help participants to obtain a visa and in no way constitutes a commitment of the organizers to provide any financial support. Invitation letters will be issued only when the workshop secretariat has received full payment for registration as a workshop participant

Accommodation
JRC-IRMM has reserved a number of rooms at different hotels with special rates in Hasselt:

You have to indicate on the registration form which hotel you prefer and this before 10 September 2010. After this date we cannot guarantee the availability of the hotel, the special rate and you may have to find a hotel yourself. The event organiser will inform you on the situation.

Transport
JRC-IRMM will take care of the following transport, if required:
  • from Brussels (Zaventem) airport to the hotel in Hasselt on 22, 23 & 24 November 2010
  • from/to Brussels centre to/from JRC-IRMM on 23 November 2010
  • from/to the hotels in Hasselt and to/from IRMM on the evening and morning on 23-24-25 November 2010
  • from/to Hasselt to/from the dinner location on 24 November 2010 evening
  • from JRC-IRMM to Brussels (Zaventem) airport on 25 November 2010
The various options are indicated on the registration form. Please note that you should foresee 3 hours between your departure time from JRC-IRMM and the departure time of your flight. JRC-IRMM is located at 80 km from Brussels centre. It takes about 1:15 drive from Brussels Centre to reach JRC-IRMM or Hasselt (depending on the traffic).

The meeting point at the Brussels Zaventem airport is on the left side when you exit the arrival gate.
The meeting points in Hasselt for the bus are in front of the Radisson Blu hotel or in front of the Holiday Inn hotel (hotel IBIS being at 5 min walk). No additional transport will be foreseen to/from hotels located outside Hasselt.
